    Activity-based offices are increasingly popular. However, productivity and well-being in these work environments have been little researched. The aims of this study were to quantitatively determine perception and use of the activity-based office environment in relation to self-rated productivity and well-being at work, and to identify important predictors of these outcomes. Four activity-based offices in a large Swedish government agency were surveyed 12 months after implementation.Two hundred and thirty-nine respondents were included in the analyses. Linear regression models, adjusted for relevant covariates, were constructed separately for predictors measuring satisfaction with different aspect of the environment (physical environment, privacy, communication, personalization, personal storage, IT functions and cleaning) and office use (the number of daily workspace switches, different workspaces used and the time spent looking for a workspace). Satisfaction with the physical environment, privacy and communication had the strongest positive association with self-rated productivity and well-being at work. Increased workspace switching was associated with higher productivity, while an increase in self-reported time spent searching for a workspace was associated with lower productivity and well-being. However, predictors related to office use generally explained only a small proportion of variance in the two outcomes. The results suggest that office developers should focus particularly on privacy needs but also on communication, personalization, smooth workspace switching and minimization of work time spent looking for available workspaces.

    When organizations adopt activity-based workplaces (ABWs), improved interaction is a common goal. Yet, few controlled longitudinal studies have been conducted on the effects of ABWs on interaction, social relations and work demands. The aim of this natural intervention study was to investigate the effects of moving into an ABW on satisfaction with communication, on social relations (i.e., social support and social community) and on work demands (i.e., quantitative demands, emotional demands and work pace) 3 months and 12 months after the relocation. The study included four offices which relocated into an ABW and one control office that did not. Questionnaire data from 408 respondents were analyzed with linear mixed models. Satisfaction with communication and the sense of belonging to a community had decreased 3 and 12 months after the relocation. Work pace was not affected while small, mostly short-term, negative effects on social support, quantitative demands and emotional demands were only observed among employees who had moved to ABWs from private offices. Differences between office sites were also observed. The results suggest that, to avoid negative outcomes, organizations moving to ABWs should focus on solving difficulties in locating colleagues at the office and on supporting particularly workers from private offices in adopting activity-based working.

    Abstract [en]

    This study determined the effect of relocating workers from traditional to activity-based offices on objectively measured sitting patterns. Office workers (n=493) from five office-sites within a large Swedish government agency were included in a controlled study of a natural intervention (2015-2017). At four sites, traditional offices were replaced by activity-based offices, while workers at one site with no relocation acted as controls. Sitting, standing and walking were measured objectively for 5-8days in a sub-sample (n=110) using accelerometry (Actigraph). Total sitting time (% of working time) and time spent in short (<5min), moderate (5-30min) and prolonged (>30min) uninterrupted periods in sitting were determined. Intervention effects were determined at 3- and 12-month follow-ups using linear mixed models adjusted for baseline age, gender and office type, and stratified by office-site (referencing controls). The relocation to activity-based offices did not result in an overall effect (across sites) on occupational sitting time (all p>0.05), while walking time had increased significantly by 1.4% of the working time at 12months compared with controls. Heterogeneous results were found across offices after 12months on total sitting time compared with controls (estimated change -18.3% time-1.4% time), prolonged sitting (change -18.3% to -3.8%), walking (change 0.5%-3.5%) and standing (change -1.4%-13.9%). In conclusion, relocation to activity-based offices had a limited overall effect on occupational sitting patterns in the studied organization, but differed considerably between office sites. Site-specific determinants of sitting behavior in activity-based offices need be identified.

    Abstract [en]

    This dissertation presents four experimental studies (in four papers) with the overall aim to investigate the effects of office noise on cognitive performance and restoration. In the first two papers the focus was on the effects of different sound levels (i.e., the mean level from all sound sources at an office, such as speech, phones, people walking) on performance, fatigue and stress. In the last two papers the focus was on the effects of background speech, as this has previously been shown to be the most disturbing noise source in open-plan offices. Paper I demonstrated decreased word memory performance, increased fatigue and motivational deficits when the background sound level increased by 12 dB, from 39 to 51 dB LAeq. Paper II showed that the sound level effects were more pronounced for individuals with a hearing impairment. Unexpectedly, no effects were found of acute noise exposure on the participant´s stress hormone levels (Paper I and Paper II).

              Regarding effects of irrelevant speech, Paper III showed that cognitive performance decreased as a function of background speech intelligibility, the higher the intelligibility depicted by the Speech Transmission Index (STI), the worse the performance. The results indicated that the STI-value must be less than 0.50, to avoid a negative influence on performance. Further, both Paper III and IV showed that performance is more impaired by background speech if the focal task requires episodic memory and rehearsal—such as word memory and information search. Interestingly, some tasks were insensitive for speech.

              The restorative effects of a break were addressed in Paper I and II (i.e., directly after the work sessions in noise). The break period differed in content between the participants. Paper I showed that a break with a nature movie with corresponding sound increased energy ratings compared to just listening to river sounds or office noise. Continued exposure to office noise gave the lowest ratings of motivation after the break. Paper II showed improved arithmetic performance and motivation after the break with a nature movie and decreased performance and motivation after continued noise exposure. For the hearing impaired participants, however, continued noise during the break increased motivation and performance, while the movie did not.

              Taken together, the current thesis demonstrates that open-plan office noise can have a negative impact on fatigue, motivation and performance. How much performance is impaired varies with the cognitive processes required by the tasks performed and hearing status. Moreover, continued noise exposure during a short break can further decrease motivation and subsequent performance.

    Abstract [en]

    When people are talking in the background of an open-plan office it can be experienced as disturbing. However, it is not well specified how much irrelevant speech actually disrupts performance. The aims of the present study were, first, to investigate how much cognitive performance is impaired by irrelevant background speech with varying degrees of speech intelligibility, and second, to determine whether some office-related tasks are more susceptible than others. The results showed that cognitive performance decreased as a function of background speech intelligibility, the higher the intelligibility depicted by the Speech Transmission Index (STI), the worse the performance. The results indicated that the STI-value should be less than 0.50 (between the speaker and the listener), to avoid a negative influence on performance. Further, performance was more impaired by background speech if the focal task required episodic memory and rehearsal — such as word memory and information search. Interestingly, some tasks were insensitive for speech. This study also shows that the efforts to minimize speech intelligibility will yield increases in cognitive performance with a varying degree, depending on the type of focal task.

    The aim of the present study was to test which tasks are suitable for work in open-plan offices according to how susceptible they are to disruption produced by the mere presence of irrelevant speech. The tasks were chosen to tap fundamental capacities of office work involving: search for relevant information, remembering material, counting, and generation of words. The hypothesis was that tasks requiring semantic processing should be impaired by irrelevant speech. To determine the magnitude of performance decrease, two sound conditions (quiet, irrelevant speech) were compared. The results showed that tasks based on episodic short-term-memory and rehearsal of the presented material were more sensitive to disruption by irrelevant speech than tasks which did not require rehearsal or were based on long-term memory retrieval. The present study points to the inappropriateness of tasks, such as information search and remembering of material, for work environments within which irrelevant speech is ubiquitous.

    BACKGROUND: Background speech is one of the most disturbing noise sources at shared workplaces in terms of both annoyance and performance-related disruption. Therefore, it is important to identify techniques that can efficiently protect performance against distraction. It is also important that the techniques are perceived as satisfactory and are subjectively evaluated as effective in their capacity to reduce distraction.

    OBJECTIVE: The aim of the current study was to compare three methods of attenuating distraction from background speech: masking a background voice with nature sound through headphones, masking a background voice with other voices through headphones and merely wearing headphones (without masking) as a way to attenuate the background sound. Quiet was deployed as a baseline condition.

    METHODS: Thirty students participated in an experiment employing a repeated measures design.

    RESULTS: Performance (serial short-term memory) was impaired by background speech (1 voice), but this impairment was attenuated when the speech was masked – and in particular when it was masked by nature sound. Furthermore, perceived workload was lowest in the quiet condition and significantly higher in all other sound conditions. Notably, the headphones tested as a sound-attenuating device (i.e. without masking) did not protect against the effects of background speech on performance and subjective work load.

    CONCLUSIONS: Nature sound was the only masking condition that worked as a protector of performance, at least in the context of the serial recall task. However, despite the attenuation of distraction by nature sound, perceived workload was still high – suggesting that it is difficult to find a masker that is both effective and perceived as satisfactory.

    Introduktion

    Den stressrelaterade ohälsan ökar i samhället i stort och det är möjligt att bristande återhämtning kan vara bidragande. Det finns dock ännu inte några tydliga svar på hur ett gynnsamt mönster av arbete och återhämtning bör se ut. Frågan om balansen mellan krav i arbetet och möjligheter till återhämtning är särskilt aktuell i yrken där digital teknik möjliggör flexibelt arbete, dvs. ett arbete där de anställda till stor del själva kan styra över sin arbetstid, sitt arbetsställe och/eller sitt arbetssätt. Möjligheten att arbeta flexibelt kan innebära både för- och nackdelar för såväl individen som organisationen och medföra nya utmaningar för chefer när det gäller hur de ska leda sina medarbetare på ett hälsofrämjande sätt. Samtidigt kan flexibiliteten underlätta för medarbetare att få ihop livspusslet och att anpassa arbetsinsatsen utifrån arbetstoppar, vilket kan gynna organisationens produktivitet. Risken är dock att den stressrelaterade ohälsan ökar om balansen mellan arbete och återhämtning rubbas genom t.ex. övertidsarbete och ständig tillgänglighet till arbetet på ogynnsamma tider.

    Det här symposiet presenterar resultat från ett forskningsprojekt som undersökt flexibelt arbete på Trafikverket. I ett första steg genomfördes en kartläggning av arbetsvillkor, återhämtning och hälsa med hjälp av en webbaserad enkät till 4926 anställda. Resultaten från kartläggningen har sedan legat till grund för fokusgruppsdiskussioner med chefer och medarbetare, där åtgärdsförslag har tagits fram i syfte att förstärka fördelarna och reducera riskerna med flexibelt arbete. Även åtgärdsförslagen från fokusgrupperna kommer att presenteras vid symposiet.

    Research has so far paid little attention to how environmental sounds might affect restorative processes. The aim of the present study was to investigate the effects of auditive and visual stimuli on perceived restoration likelihood and attitudes towards varying environmental resting conditions. Assuming a condition of cognitive fatigue, all participants (N = 40) were presented with images of an open plan office and urban nature, each under four sound conditions (nature sound, quiet, broadband noise, office noise). After the presentation of each setting/sound combination, the participants assessed it according to restorative qualities, restoration likelihood and attitude. The results mainly showed predicted effects of the sound manipulations on the perceived restorative qualities of the settings. Further, significant interactions between auditive and visual stimuli were found for all measures. Both nature sounds and quiet more positively influenced evaluations of the nature setting compared to the office setting. When office noise was present, both settings received poor evaluations. The results agree with expectations that nature sounds and quiet areas support restoration, while office noise and broadband noise (e.g. ventilation, traffic noise) do not. The findings illustrate the significance of environmental sound for restorative experience.

    Hearing impaired and normal hearing individuals were compared in two within-participant office noise conditions (high noise: 60 L Aeq and low noise: 30 L Aeq ). Performance, subjective fatigue, and physiological stress were tested during working on a simulated open-plan office. We also tested two between-participants restoration conditions following the work period with high noise (nature movie or continued office noise). Participants with a hearing impairment (N = 20) were matched with normal hearing participants (N = 18) and undertook one practice session and two counterbalanced experimental sessions. In each experimental session they worked for two hours with basic memory and attention tasks. We also measured physiological stress indicators (cortisol and catecholamines) and self-reports of mood and fatigue. The hearing impaired participants were more affected by high noise than the normal hearing participants, as shown by impaired performance for tasks that involve recall of semantic information. The hearing impaired participants were also more fatigued by high noise exposure than participants with normal hearing, and they tended to have higher stress hormone levels during the high noise compared to the low noise condition. Restoration with a movie increased performance and motivation for the normal hearing participants, while rest with continued noise did not. For the hearing impaired participants, continued noise during rest increased motivation and performance, while the movie did not. In summary, the impact of noise and restorative conditions varied with the hearing characteristics of the participants. The small sample size does however encourage caution when interpreting the results.

    The aim of the present study was to investigate cognitive, emotional, and physiological effects of two background noise conditions (high noise: 51 LAeq and low noise: 39 LAeq) during work in a simulated open-plan office, followed by four restoration conditions (river movie with sound, only river sound, silence, and office noise) after the work period. Students (N = 47) went through one practice session and two experimental sessions, one each with the low and high noise conditions. In each experimental session they worked for two hours with tasks involving basic working memory processes. We also took physiological measures of stress (cortisol and catecholamine) and self-reports of mood and fatigue. The results showed that the participants remembered fewer words, rated themselves as more tired and less motivated in high noise compared to low noise. The participants showed high levels of cortisol when they arrived to the experimental session and they had a significant (p <.001) decline in both noise conditions after two hours of work. An identical decline was shown in the norepinephrine levels (p < 0.001). The restoration phase also indicated that the sound conditions may promote different restorative experiences. To conclude, the present study showed that noise level can be of importance for working memory performance and subjective feelings of tiredness and motivation in an open-plan office and that varying sound conditions may promote different restorative experiences.

    A cross-sectional study of alternations between physical and mental tasks2016Conference paper (Refereed)
    Abstract [en]

    Background. Health and well-being at work is generally assumed to be associated with sufficient physical and mental variation. Job rotation, where workers typically alternate between different physical tasks, is a popular initiative. Controlled experiments suggest that favourable effects are associated with alternations between mental and physical tasks, but little is known about this intervention in real work. The aims of this study were (1) to describe the occurrence of alternations between mental and physical tasks, and (2) to identify key determinants of such alternations.

    Method. We developed a questionnaire combining established questions with specific questions about alternations. Workers from two occupations (industrial and non-industrial blue-collar work), in jobs containing both physical and mental tasks, were included in the study. 122 (55 females) out of 293 workers approached at four companies answered the questionnaire.

    Results. On average, the workers alternated 3.5 times per day between mental and physical tasks. In the non-industrial companies, workers reported wanting more alternations than they had, while desired and actual alternations did not differ in the industrial companies. This effect of occupation on the difference between the number of alternations wanted and the actual alternations available was significant (p < 0.001). Furthermore, there was a general preference for performing a physical task after a mental task, and vice versa. This main effect of primarily performed task type (i.e. either physical or mental) on preferred subsequent task type was significant (p < 0.001). In a univariate analysis, gender appeared to be a strong determinant of the occurrence of alternations, but the effect was absorbed when adding the occupation variable.

    Discussion. Within the studied companies, work offered alternations between mental and physical tasks and there was a preference among workers to alternate between tasks. Occupation rather than gender was a key determinant of the number of alternations reported.
